Why do most businesses choose a VoIP phone?

A VoIP phone uses the Internet for voice transmission. Thanks to this, calls are cheaper, and the possibilities of configuration and flexibility of the system - very high. Why do most companies use VoIP exchanges and phones?

What exactly is VoIP? It is the transmission of voice over the Internet Protocol (IP) designed for data networks.

Although VoIP was created for data transmission, after some time it became a worldwide standard as a network for voice transmission. Using a virtual PBX, you can make and receive calls not only over the Internet, but also over traditional phone lines.

Moreover, it allows to optimise and automate processes in a company, e.g. by making calls directly from CRM database, or thanks to various answering algorithms it can redirect a caller to a free employee in a company.  

Although VoIP was until recently synonymous with a cost-saving solution - it was much cheaper compared to traditional telephony - it was not a popular solution at all. All because of the quality of connections, where audibility and reliability left much to be desired. Today, however, there has been a big change and, with the use of new generation Internet connections, voice quality and reliability are at the same level as in the case of analog telephony.

Thus, the virtual telephone exchange is becoming a more and more popular solution. Deciding to purchase such a PBX, you not only gain cheaper VoIP connections, but also do not have to deal with the equipment. The IP telephony operator takes care of the servers of the virtual exchange. The only thing required to activate the phones is an internet connection and the configuration of the virtual PBX. The costs of implementing the virtual telephone exchange are also much lower this way.

Therefore, the virtual telephone exchange allows you to save a lot of money:

  • lack of office space,
  • No necessity to employ a telecomministrator,
  • Individual security certification (e.g. in terms of RODO).

Choosing the virtual telephone exchange we entrust the server administration to an external company that provides us with the possibility to use the PBX as a service. Our role is limited to operating the PBX panel in a web browser (adding and editing numbers, forwarding, voice announcements).

Virtual telephone exchanges are therefore now definitely a more modern technology, which in the course of time will start to displace analogue exchanges from the market. Flexibility of implementation and expansion is simply tailored to the needs of a dynamic business environment.

Virtual telephone exchanges running on appropriate software have already gained a strong position in the market of telecommunication services thanks to significant improvement in the quality of connections. Add to this the flexibility and scalability they provide, by relying on digital technology, and you have an incredible competitive advantage for any business that is serious about sales and customer service over the phone.

To this end, it is also worth opting for a cloud solution, which is a service from a virtual drive that is administered by the company in question. Replacing the fixed exchange with the cloud brings automatic financial benefits. The costs of maintaining the stationary exchange include: installation of equipment, its maintenance, service, substantive and technical support.

Let's count, the equipment itself costs from ca. PLN 500 (for 4 internal analogue lines and 2 VoIP lines) up to ca. PLN 17000 for more advanced equipment (e.g. 30 digital trunk lines, 4 internal analogue lines, 64 internal wireless DECT etc.).

The average price of a PBX for small and medium companies varies between PLN 1000 and 3000. This price includes e.g. from 5 to 12 analogue trunk lines, from 10 to 24 analogue internal ports and from 4 to 12 GSM ports depending on the service.

So if you decide on a virtual PBX, you can save even on the installation itself. Let's add to this that the costs of maintaining a PBX based on VoIP are also lower, and the system capabilities are much greater. The price is then limited to the subscription, which is also in the case of the fixed exchange (the calculation is relatively simple).

No need to purchase and connect the telephone exchange is also connected with easier configuration of the virtual exchange. Instead of the service and technical support it is enough to buy the service on the website of the company offering such solutions.

Configuration takes place via internet panel and can be done completely remotely. All necessary assistance can be obtained via various channels such as phone, e-mail or chat with the company, from which the service was purchased.

Cloud is a virtual drive on the Internet, which means that the data stored on it are available from anywhere in the world. Thanks to this both you and your team can work remotely without worrying about the location.

This is an advantage that a desktop PBX can only dream about, not to mention the physical space taken up in the office in the form of not only the device itself, but also the cables, which in the case of the cloud we will not experience. The logistical puzzle (where to put it?) is thus solved like a Gordian knot.

Remote employees (sales, service) can be easily connected with the virtual headquarters, which helps to keep all the communication in one place.

VOIP phone for companies

Such a phone looks like a regular phone, but instead of being connected to the "traditional" phone line, it is connected to the Internet.

Here reveals its first advantage - it uses the infrastructure that you already have in the company, you do not need to add telephone cables and incur additional costs of their maintenance.

Lower telephone costs

In comparison to traditional telephony, this is its greatest advantage. In order not to write too long, here's how you save by choosing VoIP:

  • Initial costs - VoIP used to be associated with a high price, now prices are lower, while entering the system does not require infrastructure and people to operate it - just the Internet and a simple configuration.
  • Calls over the internet - or VoIP - between company branches are free. The difference is greatest if your company has a foreign office. Then you will save the most on the cost of international calls.
